In detail
Soot is a by-product of the INCOMPLETE combustion of hydrocarbons, and the sweeps' trade association puts its colour plainly: it is black because it contains carbon particles that have failed to burn. Carbon is unreactive under any conditions available domestically — no acid, alkali or detergent dissolves it — so removal is mechanical. On a stove door it rarely arrives alone: wood smoke also deposits tars, which is why that blackening is baked-on rather than a dust that wipes away. WHAT IT LOOKS LIKE IS DECIDED BY THE FUEL, and sweeps classify it that way rather than by appearance — a dry quality fuel burnt cleanly leaves small amounts of very fine powder, while poor technique or damp fuel leaves dense heavy soot carrying high volatile residue. TWO THINGS ARE EASY TO MISS. Soot is not creosote: that is a different deposit with a different formation route and a different removal answer, and it has its own record. And soot is not merely a marking problem — wood soot carries polycyclic aromatic hydrocarbons the trade body calls probable human carcinogens, so disturbing it dry is an exposure rather than a tidying job.

How often should a wood burner's chimney actually be swept?
This is a real divergence and not a misreading, and the axis is the interesting part: the two bodies are not indexing on the same thing. The manufacturer answers per APPLIANCE — its own stoves, one figure. The approval body answers per FUEL, and its wood figure is double the manufacturer's. Wood is the fuel a wood burner burns, so for the appliance in question the two genuinely disagree, and the stricter number comes from the body whose subject is the chimney rather than the stove. Neither is careless. A manufacturer writing for owners of its appliances may reasonably state a floor; an approval body writing about chimney fires has the whole fuel range in view and the incident statistics behind it.
What to do: Follow the approval body's figure, which is the higher one: twice a year burning wood, once burning smokeless fuel, timed before the heating season and again after its peak. A manufacturer's minimum does not become sufficient because it appears in the manual for your stove — it is about the appliance, and the interval is about what the chimney has been collecting. Where the two differ on a fire-safety question, the higher figure costs a sweep and the lower one is not a clearance.

How often should a wood-burning chimney be swept — twice a year, or quarterly?
There is no scope difference to hide behind. Both are UK bodies, both answer the same question for the same fuel, and HETAS names NACS among its own associated associations — so this is not an outsider disagreeing with an authority. What separates them is what each figure is FOR. HETAS states a floor expressed as a minimum: 'at least' twice a year. NACS states a cadence tied to use: quarterly WHILE THE APPLIANCE IS IN USE, which for a chimney used only in winter may be two or three sweeps rather than four. Read that way the two are closer than the numbers suggest — but they are not the same instruction, and averaging them to 'about three' would invent a figure neither body publishes. Both make the same point about what actually governs: NACS lists moisture content of the wood fuel among its factors, and the deposit evidence says damp wood is what produces creosote rather than soot.
What to do: Take quarterly-while-in-use as the working figure for wood and twice a year as the floor beneath it, and treat neither as a substitute for what the flue looks like. The two bodies agree on the thing that matters more than the number: wood is the fuel that needs the most frequent attention, and how wet the wood is changes the answer. A chimney burning damp wood is making creosote rather than soot, which is a different deposit, a worse one, and the one the sweeps' association names as the main cause of chimney fire. Burning dry, seasoned fuel does more than any interval.
